About the WPA

Privacy policy

How the Western Pyrotechnic Association handles what you share with us, in plain words.

The short version

  • We keep what we need to run the club and its events, and nothing more.
  • We never sell your information or share it for anyone else's marketing.
  • Card numbers go straight to Stripe. We never see or store them.
  • Visit counting runs on the WPA's own server, and you choose whether it uses a cookie.
  • You can see, download, correct and ask us to delete your data in My Account.

What we collect

When you join, renew, register for an event, volunteer, donate or contact us, we keep:

  • Who you are: your name, email, phone, mailing address and birth date (birth dates set ticket prices and age rules).
  • Your WPA history: memberships, event registrations, orders and gifts, volunteer shifts, and the waivers you sign.
  • Your household: the family members you add, so you can register and renew together.
  • What you send us: support messages, applications, uploaded files and photos you choose to share.
  • Sign-in details: your password (stored scrambled, so no one can read it), passkeys and two-step sign-in if you use them.

How we use it

  • To run your membership and your event registrations, and to keep events safe (waivers, badges and check-in).
  • To send what you've asked for: receipts, renewal reminders, event details and answers to your messages.
  • To send club news and event announcements, which you can turn off any time.
  • To keep the club's records: accounting, tax records and the minutes members can read.

We contact you only about WPA business.

Who sees it

  • WPA volunteers see only what their job needs: membership volunteers see members, check-in sees registrations, and so on. Every change is recorded.
  • The services we use to run the club handle data for us and for nothing else: Amazon Web Services (hosting, storage and email), Stripe (card payments), our accounting software, and Google (address suggestions as you type an address).
  • The public sees only what you'd expect: presenters on the schedule, sponsors on the sponsor pages, and the names on public lists such as Gold Members and event staff.

We don't sell, rent or trade your information.

Payments

Card payments are handled by Stripe. Your card number goes from your browser straight to Stripe over an encrypted connection; the WPA never sees or stores it. We keep a record of what you paid and when, which we need for our books.

Cookies and analytics

The site uses a few cookies it can't work without: to keep you signed in and to protect forms from forgery.

We count visits with Matomo on the WPA's own server, so visit data never goes to an advertising company. Use Privacy Choices at the bottom of any page to choose: count your visits with a cookie, count them without one, or not at all.

If you choose Count my visits, with a cookie, the analytics cookie tells new and returning visitors apart, and when you are signed in your visits and what you do on the site (the pages you read, the forms you open or submit, registrations, memberships, waivers, applications and purchases) are connected to your WPA account. We use this to see what members and attendees actually use, where people get stuck, and which of our sign-up and outreach efforts bring people in. It stays on the WPA's own server, is never sold or shared, and is not used for advertising. If you choose to count visits without a cookie, or not at all, nothing is connected to your account. Your browser's Global Privacy Control setting is treated as a "no".

Some forms may show a short check from Cloudflare to keep out spam robots.

Email

Our emails go out through Amazon's email service, which tells us whether a message was delivered and opened, so we know our emails reach you. Emails about something you did or hold (receipts, renewals, registrations, waivers) always come. Newsletters and announcements are your choice.

Your choices

Sign in and open My Account → Privacy & Email to:

  • Choose your emails: the newsletter, event announcements and Tech Talk news, and paperless mail.
  • Download a copy of your data: one file with your profile, household, memberships, orders, registrations, waivers and the emails we've sent you.
  • Correct it: update your details in My Account.
  • Ask us to delete it. We remove your name, contact details, address, photo and sign-in. If you're a member or registered for an upcoming event, we check with you first.

What we keep

Even after a deletion request, we keep what the club must by law or for safety, without your name where we can: orders and payments (tax records) and signed waivers.

Security

Every page is sent over an encrypted connection. The site runs on Amazon Web Services, volunteers sign in with their own accounts and only see what their role needs, and we back up the data every night.

Children

Children come to events with a parent or guardian, who registers them and signs the waiver for them. We keep a child's name and birth date only for their registration, badge and the age rules.
